NAFA Speaker Guidelines
The NAFA Affiliates Committee prepared this sample letter that Chapters can use to invite Affiliates to make educational presentations at Chapter meetings. Of course, the prohibition against marketing products would not apply to special meetings where such marketing is specifically requested.
Thank you for accepting our invitation to speak at our NAFA meeting. These guidelines have been created to acquaint you with the Association and offer tips to ensure your presentation is well received.
The Association
The National Association of Fleet Administrators (NAFA) is the association for the automotive fleet management profession. The membership is comprised of individuals responsible for the management and operation of vehicles for their employers. These individuals represent private corporations, city, state, province, and federal governments, and utilities. The membership is also comprised of industry suppliers of products and services. Representatives from all membership sectors attend our meetings.
The Presentation
In accepting the invitation to participate, you have one major responsibility: to deliver a quality presentation that is timely, relevant and meets the objectives of the program/topic. If the presentation topic is industry related, the presentation should be made in an objective, generic manner. This is not an opportunity to sell your company's products or services. Such "commercializing" during a presentation will not be well received by NAFA and the membership and is not acceptable. Comments about how your company compares to others are not acceptable either.
It is understood that visual aids (slides, overheads, etc.) can and usually are created by the company for which you work and may bear its name and/or logo.
Speaker Remarks
Remarks shall be limited to the presentation of the topic. NAFA does not condone any sexual innuendo, ethnic references, disparaging remarks about any group or persons, or any other unprofessional comments, which could disrupt the learning environment, which the Association provides to its Members.
Handout Material
Handouts serve as a source of reference material for review of your presentation at a later date and can reduce the amount of note taking required. Handouts should be up-to-date, generic in nature and may include your company name.
